Privacy Policy

This policy explains what the SmartlyScan Android app does with your information. SmartlyScan is published by Ms IT Xpress (“we”, “us”, “our”). “You” means anyone who installs or uses the app.

It covers the app only — the document scanner, image import, text recognition (OCR), the PDF tools and reader, the QR and barcode scanner and generator, and the file and code library.

1. What we do not collect

• No name, e-mail address, phone number or any other contact detail — the app never asks you to register or log in.
• No contacts, no call logs, no SMS, no location, no microphone.
• No documents. Pages you scan, photos you import and PDFs you create never reach us.
• No recognised text. Whatever OCR reads off a page stays on the device.
• No code contents. The value inside a QR code or barcode you scan or create is never sent to us.
• No file names, no thumbnails, no page images.

2. What is stored on your device

The app keeps everything in its own private storage on the phone. This never leaves the device unless you share or export it yourself, or you back your phone up:

• Your files. Scanned pages, imported images, PDFs you create and text files you save.
• A small index of them. A local database holding each file’s name, type, location on disk, thumbnail, page count, size and the date it was made — so the library can list, search and sort.
• Your code history. Every QR code and barcode you scan or generate, with its value, format and date. See section 4.
• Settings. App language, light / dark / system theme, the default text language for OCR, whether to keep the original full-resolution photo beside a scan, and your preferred file sort order.
• Temporary files. When you share or print something, the file is written to the app’s cache folder first so the other app can pick it up. Android clears this cache, and so does “Clear cache” in Android Settings.

Uninstalling the app removes all of it.

3. Your documents, photos and files

• Scanning. The document scanner is Google’s ML Kit Document Scanner, which is part of Google Play Services and runs on your device. It finds the page edges, straightens and crops, and hands the finished pages back to SmartlyScan, which writes them to its private folder.
• Choosing a photo. Android’s own photo picker opens and hands the app only the pictures you selected. The app does not browse your gallery, and it never asks for access to your videos or audio.
• Making PDFs. Photos to PDF and text to PDF are both built on the device. Nothing is sent anywhere to be converted.
• Reading PDFs. A PDF you open is read from where it already is on your phone. If it is password-protected, the password is used to open the file and is not stored or transmitted.
• Saving and exporting. Saving a page or a generated code image writes it to your device gallery. On Android 9 and older this needs storage permission, requested at the moment you tap save. On Android 10 and newer no permission is needed.
• Sharing and printing. Sharing hands the file to the Android share sheet; printing hands it to Android’s print service. What happens after that is governed by the app or printer you pick and by their privacy policies, not by ours.

4. Scanned and generated codes

SmartlyScan keeps a history of every QR code and barcode you scan or create, so you can find one again later. That history is a local database on your phone and is never uploaded.

Please note that a code’s value is stored as-is. If you scan a Wi-Fi QR code, the network password it contains is saved in that history in readable form, on your device. The same is true of a contact card, an e-mail address or a phone number in a scanned code.

You can wipe the whole history at any time: Settings → Storage → Clear code history. That removes the codes and leaves your files untouched.

5. Text recognition (OCR)

• English and Latin scripts use Google’s ML Kit text recognition. The recognition model is downloaded once through Google Play Services — the app asks Play to fetch it at install time so that the first scan works offline — and after that the recognition itself runs on your device.
• Bangla uses Tesseract with a language file bundled inside the app, so it is offline from the first run and no download is involved.
• In both cases the page image and the text that comes out of it stay on your phone. The recognised text is only saved if you choose to save it.

6. Google services used by the app

SmartlyScan uses a few Google services. They are the only third parties that receive anything, and none of them receive your documents, your photos, your recognised text or your code contents.

These services are provided by Google LLC and are subject to the Google Privacy Policy and, for the Firebase parts, the Firebase Privacy and Security notes. Data processed by them may be stored on Google servers outside Bangladesh.

7. Advertising

The app does not show ads and does not use the Android advertising ID — the advertising ID permission is explicitly removed from the app. If we add advertising in a future version, we will update this policy and the Play Store Data safety declaration before that version is published, and any consent required in your region will be asked for inside the app.

8. Permissions and why the app asks

• Camera — to scan documents, capture a single page, and read QR codes and barcodes. It is requested the first time you use one of those, never at launch. If you refuse it, the rest of the app — importing photos, the PDF tools, the reader and the code generator — still works.
• Internet — to send crash and usage reports, fetch Remote Config, and download the interface font and the text-recognition model. Scanning, OCR, PDF creation and code generation all run on the device and work with no connection.
• Photos and media — importing pictures goes through Android’s photo picker, which needs no permission at all. Saving an image to your gallery needs storage permission on Android 9 and older only. The app removes the video and audio media permissions that its libraries would otherwise declare, because it only ever touches images.

9. Children

SmartlyScan is a general audience app and is not directed at children under 13. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, write to us and we will delete it.

10. How long data is kept

• Data on your phone stays until you delete it in the app or uninstall the app.
• Crash reports are retained by Firebase Crashlytics for up to 90 days.
• Analytics data is retained for the period set in our Firebase project, up to a maximum of 14 months for event-level data. Aggregated reports that cannot identify a device may be kept longer.

11. Sharing and selling

We do not sell, rent or trade any data. We do not share it with advertisers or data brokers. The only recipients are the Google services listed in section 6, which process the data on our behalf. We may disclose information if the law requires it or to protect our rights and the safety of users.

12. Security

Everything you scan or create is held in the app’s private storage, which Android keeps isolated from other apps. Traffic to the Google services above is encrypted in transit (HTTPS). We hold no accounts and no user content on any server of ours, so there is no user database to breach. Because your files live on the phone rather than in a cloud account, protecting the phone itself — a screen lock, and care with who has it — is the main safeguard. No method of transmission or storage is perfectly secure, and we cannot guarantee absolute security.

13. Your rights

Depending on where you live, you may have the right to access, correct, delete or object to the processing of your personal data.

• Delete individual items: delete any file from the library, or clear the code history from Settings → Storage.
• Delete everything on the device: uninstall the app, or use Android Settings → Apps → SmartlyScan → Storage → Clear data.
• Stop analytics and crash reporting: uninstalling the app stops it entirely. You can also ask us to delete the analytics and crash data associated with your installation by e-mailing us — include your device model and roughly when you used the app so we can locate the records.
• Ask a question or make a complaint: e-mail us at the address below. We answer requests within 30 days.

14. Changes to this policy

If we change how the app handles data, we will update this page and the “Last updated” date at the top. If the change is significant, it will be announced in the Play Store release notes for the version that introduces it. Continuing to use the app after an update means you accept the revised policy.

গোপনীয়তা নীতি (বাংলা)

SmartlyScan অ্যাপটি আপনার তথ্য নিয়ে কী করে, এই পাতায় সেটাই লেখা আছে। অ্যাপটি প্রকাশ করেছে Ms IT Xpress। নিচে “আমরা” বলতে Ms IT Xpress, আর “আপনি” বলতে অ্যাপ ব্যবহারকারী বোঝানো হয়েছে। ইংরেজি ও বাংলা লেখার মধ্যে কোনো অমিল দেখা দিলে উপরের ইংরেজি অংশটিই চূড়ান্ত ধরা হবে।

১. যা আমরা নিই না

• নাম, ই-মেইল, ফোন নম্বর বা অন্য কোনো যোগাযোগের তথ্য নয় — অ্যাপ কখনো লগইন করতে বলে না।
• কন্টাক্ট, কল লিস্ট, এসএমএস, লোকেশন বা মাইক্রোফোন — কিছুই নয়।
• কোনো ডকুমেন্ট নয়। স্ক্যান করা পাতা, আনা ছবি বা বানানো পিডিএফ আমাদের কাছে আসে না।
• OCR দিয়ে তোলা লেখা নয়। পাতা থেকে যে লেখা ওঠে তা ফোনেই থাকে।
• কোডের ভেতরের তথ্য নয়। স্ক্যান বা তৈরি করা কিউআর বা বারকোডে যা আছে, তা আমাদের কাছে পাঠানো হয় না।
• ফাইলের নাম, থাম্বনেইল বা পাতার ছবি — কিছুই নয়।

২. ফোনে যা জমা থাকে

অ্যাপ সবকিছু ফোনের ভেতরে নিজের ব্যক্তিগত স্টোরেজে রাখে। আপনি নিজে শেয়ার বা এক্সপোর্ট না করলে, কিংবা ফোনের ব্যাকআপ না নিলে, এগুলো ফোন ছেড়ে কোথাও যায় না:

• আপনার ফাইল। স্ক্যান করা পাতা, আনা ছবি, বানানো পিডিএফ আর সেভ করা টেক্সট ফাইল।
• সেগুলোর ছোট একটা তালিকা। ফোনের ভেতরের একটি ডেটাবেজে প্রতিটি ফাইলের নাম, ধরন, ফোনে কোথায় আছে, থাম্বনেইল, পাতার সংখ্যা, আকার আর তৈরির তারিখ — যাতে লাইব্রেরিতে খোঁজা ও সাজানো যায়।
• কোডের ইতিহাস। স্ক্যান বা তৈরি করা প্রতিটি কিউআর ও বারকোড, তার মান, ফরম্যাট আর তারিখসহ। ৪ নম্বর অংশ দেখুন।
• সেটিংস। অ্যাপের ভাষা, লাইট/ডার্ক/সিস্টেম থিম, OCR-এর ডিফল্ট ভাষা, স্ক্যানের সঙ্গে মূল ছবিটা রাখা হবে কি না, আর ফাইল সাজানোর পছন্দ।
• অস্থায়ী ফাইল। শেয়ার বা প্রিন্ট করার সময় ফাইলটা আগে অ্যাপের ক্যাশ ফোল্ডারে লেখা হয়, যাতে অন্য অ্যাপ সেটা নিতে পারে। অ্যান্ড্রয়েড নিজেই এই ক্যাশ পরিষ্কার করে, সেটিংস থেকেও করা যায়।

অ্যাপ আনইনস্টল করলে এর সবটুকু মুছে যায়।

৩. আপনার ডকুমেন্ট, ছবি আর ফাইল

• স্ক্যান। ডকুমেন্ট স্ক্যানারটি Google-এর ML Kit Document Scanner, যা Google Play Services-এর অংশ এবং আপনার ফোনেই চলে। এটি কাগজের কিনারা খুঁজে নেয়, সোজা করে, কেটে নেয়, তারপর তৈরি পাতাগুলো SmartlyScan-কে ফেরত দেয় — আর অ্যাপ সেগুলো নিজের ব্যক্তিগত ফোল্ডারে রাখে।
• ছবি বাছাই। অ্যান্ড্রয়েডের নিজের ফটো পিকার খোলে এবং আপনি যেগুলো বাছাই করেন কেবল সেগুলোই অ্যাপকে দেয়। অ্যাপ আপনার গ্যালারি ঘেঁটে দেখে না, আর ভিডিও বা অডিওর অনুমতি কখনো চায় না।
• পিডিএফ বানানো। ছবি থেকে পিডিএফ আর লেখা থেকে পিডিএফ — দুটোই ফোনের ভেতরেই তৈরি হয়। রূপান্তরের জন্য কোথাও কিছু পাঠানো হয় না।
• পিডিএফ পড়া। যে পিডিএফ খোলেন সেটি ফোনে যেখানে আছে সেখান থেকেই পড়া হয়। পাসওয়ার্ড দেওয়া থাকলে সেই পাসওয়ার্ড কেবল ফাইলটি খুলতে ব্যবহার হয় — জমা রাখা হয় না, কোথাও পাঠানোও হয় না।
• সেভ ও এক্সপোর্ট। কোনো পাতা বা তৈরি কোডের ছবি সেভ করলে তা ফোনের গ্যালারিতে যায়। অ্যান্ড্রয়েড ৯ ও তার আগের ভার্সনে এর জন্য স্টোরেজ অনুমতি লাগে, যেটা সেভ চাপার সময়ই চাওয়া হয়। অ্যান্ড্রয়েড ১০ বা তার পরে কোনো অনুমতি লাগে না।
• শেয়ার ও প্রিন্ট। শেয়ার করলে ফাইলটি অ্যান্ড্রয়েডের শেয়ার শিটে যায়, প্রিন্ট করলে অ্যান্ড্রয়েডের প্রিন্ট সার্ভিসে। এরপর কী হবে তা আপনার বাছাই করা অ্যাপ বা প্রিন্টারের নীতি অনুযায়ী চলে, আমাদের নয়।

৪. স্ক্যান করা ও তৈরি করা কোড

SmartlyScan আপনার স্ক্যান বা তৈরি করা প্রতিটি কিউআর ও বারকোডের একটি তালিকা রাখে, যাতে পরে আবার খুঁজে পান। এই তালিকা ফোনের ভেতরের একটি ডেটাবেজ — কোথাও আপলোড হয় না।

খেয়াল রাখবেন, কোডের ভেতরের তথ্য যেমন আছে তেমনভাবেই জমা থাকে। ওয়াই-ফাইয়ের কিউআর কোড স্ক্যান করলে তার ভেতরের নেটওয়ার্ক পাসওয়ার্ডটি পড়ার উপযোগী অবস্থাতেই ওই তালিকায় থেকে যায়, আপনার ফোনে। কন্টাক্ট কার্ড, ই-মেইল ঠিকানা বা ফোন নম্বরের ক্ষেত্রেও একই কথা।

যেকোনো সময় পুরো তালিকা মুছে ফেলতে পারেন: Settings → Storage → Clear code history। এতে কেবল কোডগুলো মোছে, আপনার ফাইলে হাত পড়ে না।

৫. লেখা তোলা (OCR)

• ইংরেজি ও ল্যাটিন হরফের জন্য Google-এর ML Kit ব্যবহার করা হয়। মডেলটি Google Play Services-এর মাধ্যমে একবারই নামে — অ্যাপ ইনস্টলের সময়ই Play-কে সেটি আনতে বলে, যাতে প্রথম স্ক্যানটিও নেট ছাড়া কাজ করে — এরপর লেখা তোলার কাজটি আপনার ফোনেই হয়।
• বাংলার জন্য Tesseract ব্যবহার করা হয়, যার ভাষা ফাইলটি অ্যাপের ভেতরেই দেওয়া আছে। তাই এটি প্রথম দিন থেকেই অফলাইন, কিছু নামাতে হয় না।
• দুই ক্ষেত্রেই পাতার ছবি আর তা থেকে ওঠা লেখা ফোনেই থাকে। আপনি নিজে সেভ না করলে সেই লেখা জমাও থাকে না।

৬. অ্যাপ যেসব Google সেবা ব্যবহার করে

SmartlyScan কয়েকটি Google সেবা ব্যবহার করে। তৃতীয় পক্ষ বলতে কেবল এগুলোই কিছু পায়, আর এদের কেউই আপনার ডকুমেন্ট, ছবি, তোলা লেখা বা কোডের ভেতরের তথ্য পায় না।

• Firebase Analytics — নাম-পরিচয়হীন ব্যবহারের হিসাব: ডকুমেন্ট স্ক্যান হলো, ছবি আনা হলো, পিডিএফ তৈরি হলো, লেখা তোলা হলো, কোড স্ক্যান বা তৈরি হলো, ফাইল শেয়ার বা এক্সপোর্ট হলো — সঙ্গে বড়জোর ছোট একটা পরিচয়হীন তথ্য, যেমন কোডের ফরম্যাট, OCR-এর ভাষা, ফাইলের ধরন বা পাতার সংখ্যা। এছাড়া কোন স্ক্রিন খোলা হলো, আপনার বাছাই করা ভাষা ও থিম, আর Firebase-এর নিজস্ব তথ্য: এলোমেলোভাবে তৈরি একটি ইনস্টলেশন আইডি, ফোনের মডেল, অ্যান্ড্রয়েড ভার্সন, অ্যাপ ভার্সন আর আনুমানিক দেশ। এতে কোনো ফাইলের নাম বা কনটেন্ট থাকে না।
• Firebase Crashlytics — অ্যাপ বন্ধ হয়ে গেলে ত্রুটির বিবরণ, ফোনের মডেল, অ্যান্ড্রয়েড ভার্সন আর অ্যাপ ভার্সন। সমস্যা খুঁজে ঠিক করার জন্য।
• Firebase Remote Config — অ্যাপের সেটিং আনার অনুরোধ, যার সঙ্গে ইনস্টলেশন আইডি আর অ্যাপ ভার্সন যায়। নতুন রিলিজ না দিয়েই কিছু সেটিং বদলানো বা জরুরি আপডেটের কথা জানানোর জন্য।
• Google Fonts — ফন্ট নামানোর অনুরোধ, যাতে যেকোনো ওয়েব রিকোয়েস্টের মতোই আপনার আইপি ঠিকানা থাকে। অ্যাপের অন্য কোনো তথ্য এর সঙ্গে যায় না। ফন্ট না নামলে অ্যাপ ফোনের নিজের ফন্টেই চলে।
• Google Play Services (ML Kit) — লেখা তোলার মডেল নামানোর অনুরোধ। স্ক্যান আর লেখা তোলার কাজটা ফোনেই হয়; এই অ্যাপ আপনার পাতা Google-এর কাছে পাঠায় না।
• Google Play (ইন-অ্যাপ আপডেট) — অ্যাপের ভেতর থেকেই আপডেট দেওয়ার জন্য; অ্যাপ শুধু জানতে চায় নতুন ভার্সন এসেছে কি না।

এই সেবাগুলো Google LLC-র, এবং Google-এর গোপনীয়তা নীতি মেনে চলে। এসব তথ্য বাংলাদেশের বাইরের সার্ভারেও জমা থাকতে পারে।

৭. বিজ্ঞাপন

অ্যাপে কোনো বিজ্ঞাপন নেই এবং অ্যান্ড্রয়েডের অ্যাডভার্টাইজিং আইডি ব্যবহার করা হয় না — ওই অনুমতিটি অ্যাপ থেকে সরিয়েই দেওয়া হয়েছে। ভবিষ্যতে বিজ্ঞাপন যোগ করলে সেই ভার্সন প্রকাশের আগেই এই নীতি আর প্লে স্টোরের Data safety তথ্য হালনাগাদ করা হবে, এবং প্রয়োজন হলে অ্যাপের ভেতরেই আপনার সম্মতি চাওয়া হবে।

৮. অনুমতিগুলো কেন লাগে

• ক্যামেরা — ডকুমেন্ট স্ক্যান করতে, এক পাতার ছবি তুলতে আর কিউআর ও বারকোড পড়তে। এগুলোর কোনোটি প্রথমবার ব্যবহারের সময়ই চাওয়া হয়, অ্যাপ খোলার সময় নয়। না দিলেও অ্যাপের বাকি অংশ — ছবি আনা, পিডিএফ টুল, রিডার আর কোড জেনারেটর — চলতে থাকে।
• ইন্টারনেট — ক্র্যাশ ও ব্যবহারের রিপোর্ট পাঠাতে, Remote Config আনতে, আর ইন্টারফেসের ফন্ট ও লেখা তোলার মডেল নামাতে। স্ক্যান, OCR, পিডিএফ বানানো আর কোড তৈরি — সবই ফোনে চলে, নেট ছাড়াই কাজ করে।
• ছবি ও মিডিয়া — ছবি আনার কাজটা অ্যান্ড্রয়েডের ফটো পিকার দিয়ে হয়, যার জন্য কোনো অনুমতিই লাগে না। গ্যালারিতে ছবি সেভ করতে স্টোরেজ অনুমতি লাগে কেবল অ্যান্ড্রয়েড ৯ ও তার আগের ভার্সনে। অ্যাপ শুধু ছবি নিয়েই কাজ করে বলে ব্যবহৃত লাইব্রেরিগুলো যে ভিডিও ও অডিওর অনুমতি চাইত, সেগুলো সরিয়ে দেওয়া হয়েছে।

৯. শিশুদের বিষয়ে

SmartlyScan সবার জন্য বানানো অ্যাপ, ১৩ বছরের কম বয়সীদের লক্ষ্য করে নয়। শিশুদের ব্যক্তিগত তথ্য আমরা জেনেশুনে সংগ্রহ করি না। এমন কিছু ঘটেছে মনে হলে আমাদের জানান, মুছে দেওয়া হবে।

১০. তথ্য কত দিন থাকে

• ফোনের তথ্য ততক্ষণ থাকে, যতক্ষণ আপনি অ্যাপ থেকে মুছে না দেন বা অ্যাপ আনইনস্টল না করেন।
• ক্র্যাশ রিপোর্ট Firebase Crashlytics-এ সর্বোচ্চ ৯০ দিন থাকে।
• ব্যবহারের হিসাব আমাদের Firebase প্রজেক্টে নির্ধারিত সময় পর্যন্ত থাকে, ইভেন্ট-পর্যায়ের তথ্যের জন্য যা সর্বোচ্চ ১৪ মাস। যেসব সারসংক্ষেপ থেকে কোনো ডিভাইস চেনা যায় না, সেগুলো আরও বেশি সময় থাকতে পারে।

১১. তথ্য বিক্রি বা হস্তান্তর

আমরা কোনো তথ্য বিক্রি বা ভাড়া দিই না, বিজ্ঞাপনদাতা বা ডেটা ব্রোকারের সঙ্গে ভাগ করি না। ৬ নম্বর অংশে বলা Google সেবাগুলোই কেবল আমাদের হয়ে তথ্য প্রক্রিয়া করে। আইনি বাধ্যবাধকতা থাকলে বা ব্যবহারকারীর নিরাপত্তার প্রয়োজনে তথ্য প্রকাশ করা হতে পারে।

১২. নিরাপত্তা

আপনার স্ক্যান বা তৈরি করা সবকিছু অ্যাপের নিজস্ব স্টোরেজে থাকে, যা অ্যান্ড্রয়েড অন্য অ্যাপ থেকে আলাদা রাখে। উপরের Google সেবাগুলোর সঙ্গে যোগাযোগ HTTPS দিয়ে এনক্রিপ্ট করা। আমাদের সার্ভারে কোনো অ্যাকাউন্ট বা ইউজার কনটেন্ট নেই, তাই ফাঁস হওয়ার মতো কোনো ডেটাবেজও নেই। ফাইলগুলো যেহেতু কোনো ক্লাউড অ্যাকাউন্টে নয়, ফোনেই থাকে, তাই মূল সুরক্ষা হলো ফোনটিকেই নিরাপদ রাখা — স্ক্রিন লক দেওয়া আর কার হাতে ফোন যাচ্ছে সে বিষয়ে সতর্ক থাকা। তবু কোনো ব্যবস্থাই শতভাগ নিরাপদ নয়, আর আমরা নিরঙ্কুশ নিরাপত্তার নিশ্চয়তা দিতে পারি না।

১৩. আপনার অধিকার

• আলাদা কিছু মুছতে: লাইব্রেরি থেকে যেকোনো ফাইল মুছে দিন, বা Settings → Storage থেকে কোডের ইতিহাস পরিষ্কার করুন।
• ফোনের সব তথ্য মুছতে: অ্যাপ আনইনস্টল করুন, অথবা Settings → Apps → SmartlyScan → Storage → Clear data।
• ব্যবহারের হিসাব ও ক্র্যাশ রিপোর্ট বন্ধ করতে: অ্যাপ আনইনস্টল করলেই পুরোপুরি বন্ধ হয়ে যায়। চাইলে ই-মেইল করে আপনার ইনস্টলেশনের তথ্য মুছে দিতে বলতে পারেন — ফোনের মডেল আর মোটামুটি কোন সময়ে অ্যাপ ব্যবহার করেছেন, সেটা লিখে দিলে খুঁজে পেতে সুবিধা হয়।
• প্রশ্ন বা অভিযোগ: নিচের ঠিকানায় ই-মেইল করুন। ৩০ দিনের মধ্যে উত্তর দেওয়া হয়।

১৪. নীতি বদলালে

অ্যাপের তথ্য ব্যবহারের ধরন বদলালে এই পাতা আর উপরের তারিখ হালনাগাদ করা হবে। বড় কোনো পরিবর্তন হলে সেটি যে ভার্সনে আসছে, তার প্লে স্টোর রিলিজ নোটেও জানানো হবে।
